AHEPPP National Conference Payment Policy 

The AHEPPP National Conference payment policy outlines the expectations and guidelines for conference registration for all participants attending the annual event. This policy is designed to ensure a smooth, transparent, and consistent process for all attendees.

1. Registration and Payment

  • Registration: All attendees must register for the AHEPPP National Conference through the official conference website.

  • Payment Methods: Accepted payment methods include credit/debit cards (Visa, MasterCard, American Express) and checks. Registrants paying by credit/debit card will pay at the time of registration. Registrants paying by check should select the “invoice me” option during registration and should plan on having a check mailed to AHEPPP. Checks should be received prior to the start of the conference. In order to ensure timely payment, the “invoice me” option is only available for early bird and standard rate registrations.

  • Early Bird Rate: Registrants who pay during the early bird registration period are eligible for discounted rates. Early bird deadlines and pricing will be posted on the conference website.

  • Standard Rate: After the early bird period, standard registration fees will apply. Standard registration deadlines and pricing will be posted on the conference website.

  • Last Call Rate: After the standard rate registration period, last call registration fees will apply. Last call  registration deadlines and pricing will be posted on the conference website.

2. Payment Deadlines

  • Early Bird Rate Deadline: Payment must be completed by August 15th to qualify for early bird rates.

  • Regular Rate Deadline: Payment must be completed by October 3rd to qualify for early bird rates.

  • Last Call Rate Deadline: Payment must be completed by October 24th to qualify for last call rates

3. Payment Confirmation

  • Once payment is successfully processed, registrants will receive a confirmation email with an official receipt and registration details. Please retain this information for your records.

AHEPPP National Conference Registration Refund Policy

The following outlines the refund policy for registration fees associated with the AHEPPP (Association for Higher Education Parent/Family Program Professionals) National Conference. By registering for the event, you agree to the terms of this refund policy.

1. Refund Requests

  • Full refunds for conference registration fees will be provided if a refund request is submitted by October 10, 2025 Refund requests received after October 10th will not be eligible for a refund.

2. How to Request a Refund

To request a refund, please send an email to [email protected]with the subject line: "AHEPPP National Conference Refund Request". Your request must include:

  • Full name

  • Registration confirmation number/invoice number

  • Reason for the refund request

  • Contact information

3. Refund Processing

Refunds will be processed within 3-5 business days following the approval of the request. Refunds will be issued to the original method of payment.

4. Special Circumstances

AHEPPP understands that unforeseen circumstances may arise, such as medical emergencies or unavoidable personal matters. In such cases, please contact the Conference Project Manager directly at [email protected] to discuss potential accommodations.

5. Transfer of Registration 

Registrants who are unable to attend the conference may transfer their registration to another individual. Transfer requests must be made by October 24, 2025 and submitted via email to [email protected]. Transfers are subject to availability and may require an additional fee.

6. Cancellation of the Event

In the event the AHEPPP National Conference is canceled due to unforeseen circumstances, registrants will receive a full refund of the conference registration fee.
